SENR - Student Enrollment

SENR errors involve "Student ENRollment" errors. Basically these errors occur when two schools are claiming the same student on the same date(s). Since student's normally only attend one school at a time, this error occurs most often when a student's previous school fails to properly exit the student. Then, when the student's new school uploads a new enrollment record, CALPADS insists that the two schools work out when the student was actually in attendance at each school. If two schools do claim the same student on the same day, it creates a concurrent enrollment error or CCE.

Reporting LEA must equal CDS code associated with submitter User ID

SENR0002

School must be a valid code in CDS and have an active CALPADS reporting relationship with the Reporting LEA.

If School of Attendance NPS is populated Then School of Attendance must equal 0000001

SENR0004

If School of Attendance = 0000001 Then School of Attendance NPS must be populated

SENR0005

School of Attendance NPS must be a valid NPS code in CDS

SENR0006

Academic Year ID must be a valid academic school year combination and no more than one year in the future

SENR0007

SSID must be a valid CALPADS SSID in the ODS

SENR0008

If SSID is retired and Student Gender Code and Student Date of Birth Year in file match Student Gender Code and Student Date of Birth Year of current SSID in ODS , then replace with current SSID for student

SENR0009

Field must only contain Alphabetic letters, numbers, periods, hyphens and apostrophes.

If Student Alias Last Name is populated Then Student Alias First Name must be populated

SENR0011

If Student Alias First Name is populated Then Student Alias Last Name must be populated

SENR0012

If the Grade Level Code is equal to Adult (AD) Then Student age must be greater than or equal to 16 and less than 80; otherwise the Student Age must be greater than 0 and less than or equal to 22.

Student School Start Date must be greater than Student Birth Date

SENR0014

Student School Start Date must be less than or equal to current date plus six months

SENR0015

If Student Exit Reason Code is populated then Student School Exit Date must be populated

Student School Exit Date must be greater than or equal to Student School Start Date unless the Student Exit Reason Code = N470 (NoShowOther), in which case the date must be on or one day prior to the Start Date.

Submitted record has School Start Date which is AFTER the School Exit Date of a graduated record within CALPADS for this SSID. A Graduated record is: Student Exit Reason Code = E230 AND School Completion Status = 100, 106 OR 250

SENR0026

If Student Exit Category equals E230 and School Completion Status Code equals 330 (Passed CHSPE) then Student Age must be greater than or equal to 16 at Student School Exit Date, or Grade must be greater than 9.

Btw, the CHSPE stands for California High School Proficiency Examination.

SENR0027

Student primary enrollment cannot overlap an existing primary enrollment for the same student within the LEA.

Primary Enrollments are defined as:

- Enrollment Status = “10” (Primary);

- Enrollment Status = “30” (Short Term), and the enrollment period exceeds 30 days;

Note: Enrollments with a N470 (NoShowOther) exit and a Enrollment Exit Date equal to or one day prior to the Enrollment Start Date are NOT considered Primary Enrollments.

SENR0028

A student's primary enrollment submission overlaps an existing primary enrollment for the same student in another LEA. This submission will create a concurrent enrollment anomaly or CCE.

Primary Enrollments are defined as:
- Enrollment Status = “10” (Primary);
- Enrollment Status = “30” (Short Term), and the enrollment period exceeds 30 days;\

Note: Enrollments with a N470 (NoShowOther) exit and a Enrollment Exit Date equal to or one day prior to the Enrollment Start Date are NOT considered Primary Enrollments."

If Student Exit Reason Code = E230 (CompleterExit) then Student School Completion Status Code must be populated

SENR0030

If Student Exit Reason Code = T165 (TransEnrollDiscip) Or If School Type of element 1.05 (as indicated in the CDE County District School database) is an Alternative School And Student Exit Reason Code = T160 is an Alternative School Then Expected Receiver School of Attendance must be populated

If Student School Completion Status Code = 100, 106 or 108 (Graduated) Then Student Met all UC CSU Requirements Indicator must be populated

This can happen when you mistakingly enter a Canadian Province in the state field when you meant to indicate a US state.

CALPADS gives special attention to the code-sets for three countries. 

So if you are using a country code for United States of "US", and the student was born in California, the State Province code would be "US-CA" and NOT just "CA"

 

SENR0037

A student's primary enrollment submission cannot have the same Enrollment Start Date for the same student in another LEA.


Primary Enrollments are defined as:

- Enrollment Status = “10” (Primary);

- Enrollment Status = “30” (Short Term), and the enrollment period exceeds 30 days; Note: Enrollments with a N470 (NoShowOther) exit and a Enrollment Exit Date equal to or one day prior to the Enrollment Start Date are NOT considered Primary Enrollments.

LEA must be a valid code in CDS and have an active CALPADS reporting relationship with the Reporting LEA

Student Gender Code and Student Date of Birth Year must equal existing ODS Student Gender Code and Student Date of Birth Year in latest Student Information record

SENR0188

The batch SENR or online submission contains a short-term enrollment record. This submitted enrollment record starts on the SAME date as an existing primary enrollment record in CALPADS ODS for another LEA. Things to check for in submisson: Verify the following fields contained in the submissions against CALPADS Enrollment History of the student:
1.23 - Student School Start Date
1.24 - Enrollment Status Code
1.26 - Student School Exit Date

Primary Enrollments are defined as:

- Enrollment Status = “10” (Primary);

- Enrollment Status = “30” (Short Term), and the enrollment period exceeds 30 days;

Note: Enrollments with a N470 (NoShowOther) exit and a Student School Exit Date equal to or one day prior to the Student School Start Date are NOT considered Primary Enrollments.

District of Geographic Residence must be populated with a valid 7-digit County District (CD) code representing an active, open district that is not a charter school or county office of education in the academic year specified.

A grade level was submitted for a student that is outside the grade level range offered by the school. Students with a valid special education program record are not included in the grade level validation.

A student who has an enrollment status of primary (10) or short-term (30) who is attending either COE that is a Non-Charter school, a COE that is a Non-Juvenile Court school, or a Charter school operating a County Community (COMM), Opportunity (OPP) or, Special Education (SPEC) program does not have a Student School Transfer Code.

If Exit Code equals E150, then Enrollment Start Date (at same school) cannot be greater than 1 day after Enrollment Exit Date

If a Grade Level Code of AD (Adult) is submitted for a student, then the School of Attendance must be an Adult Education Center. If a Grade Level Code of IN, TD, PS, K-12, UE, or US is submitted for a student, then the School of attendance must be a Pre-K thru 12 school.

If Postsecondary/Transition Status Indicator is populated with a "Y", then student must an overlapping Active Plan SPED record at the same Reporting LEA where Education Plan Type Code = 100 (IEP), at least 17 years old, and be in grade 12.
