Q Ware CMMS is a cloud-based maintenance and facilities-management system with a K–12-focused configuration. It gives district staff a central request portal and gives maintenance teams tools to prioritize, assign, schedule, document, and report work across buildings, grounds, equipment, and other operational assets.
The platform combines corrective work orders, preventive maintenance, asset histories, inventory, vendors, documents, mobile access, and reporting. Districts can use separate work queues for facilities, IT, or other service departments while maintaining a consistent request and accountability process.

- Lets staff submit requests and monitor status through individual accounts.
- Centralizes triage, priorities, assignments, labor, materials, comments, and completion records.
Preventive maintenance- Generates recurring work orders based on dates, assets, or locations.
- Attaches instructions, checklists, documents, and asset information to scheduled work.
Assets and inventory- Tracks equipment, locations, barcodes, service history, warranties, parts, and consumable inventory.
- Connects work and cost history to the assets being maintained.
Mobile and vendor operations- Allows technicians and requesters to work from phones, tablets, or browsers.
- Maintains contractor and vendor records, invoices, and related documents.
Reporting and access- Builds custom reports and dashboards for backlog, cost, response, asset, and performance measures.
- Supports Google or Microsoft Entra/Azure sign-in as configured by the district.
